Ecommerce Shipping Software: Features You Actually Need (and Which You Don’t)

The ecommerce shipping software market is loud right now. Every product claims to be the one that’ll save you hours and cut your costs. And some of it is noise.

When you’re shopping for shipping software, you need to separate what actually moves the needle from what’s just a feature list that looks good on a website.

Let’s start with what you actually need.

Real-time order sync. Your orders should land in your shipping software the moment they’re placed. Not every four hours. Not every 15 minutes. Now. This isn’t luxury. This is baseline. If you’re trying to dispatch orders in the afternoon and your software is pulling orders from this morning, you’re already behind.

Intelligent courier allocation. This is the one that saves real money. The software should check all your connected couriers for every order and automatically assign the best one based on rate, delivery time, and serviceability. “Best” means best for that order, not best in general. A 2kg parcel to Bangalore has different routing rules than a 10kg parcel to a Tier 3 town 500km away. Software that doesn’t understand the difference isn’t intelligent. It’s just checking a box.

Bulk label printing. If your software makes you print labels one at a time, move on. You should print your entire dispatch batch in one go.

Real shipment tracking. Not “order placed” tracking. Actual tracking from courier to customer. Your dashboard should show live status, not data from six hours ago. And when a shipment fails, you should know immediately.

Multi-courier support. One platform should handle all your couriers. If you’re logging into six different portals, the software isn’t solving the problem — it’s just adding to it.

COD handling, if you have COD orders. If you’re in India and you’re not handling COD, you’re missing 30-40% of your market. If you are handling COD, your shipping software needs to track it, reconcile it, and show you what’s collected versus what’s pending without requiring a spreadsheet.

NDR and RTO management. When a delivery fails, the software should flag it immediately and either let you reschedule or, better, prompt the customer to confirm/update their address. The goal is to catch the problem before it becomes a full return.

Now, what doesn’t actually matter?

Fancy dashboards. A good dashboard is useful. A fancy dashboard with 47 visualizations you’ll never look at is expensive and slow. You want clean. You want it to load fast. You want the numbers you actually care about visible in three seconds.

AI-powered recommendations. I see a lot of software claiming AI will optimize your shipping. In reality, most “AI” in shipping software is just rules. Smart rules, sure. But rules. If you can’t understand why the software made a decision, it’s not helping you — it’s a black box.

Integration with tools you don’t use. Some software comes bundled with inventory management, accounting, customer support, and 12 other things. If you’re already using best-of-breed tools for each, software that says “we do everything” is actually saying “we’re okay at everything and great at nothing.”

International shipping if you don’t ship internationally. It adds cost and complexity you don’t need.

Reporting that looks pretty but doesn’t answer questions. You care about three things: delivery rate, RTO rate, and cost per shipment. You want to slice that by courier, by zone, by date range. Beyond that, most reports are decoration.

Here’s what to actually test before you buy:

Can your team set it up? Not with a developer. Just your operations manager. If it takes a week, that’s too much.

Does it actually reduce the time your team spends on shipping? Ask for a before/after. “Hours saved per day” is the only metric that matters.

Does it connect to all your couriers? Test with at least three. See if it takes 10 minutes or 10 days to add a new one.

Can you export the data you care about? Because you’ll eventually need to pull it into another tool, or show it to your accountant, or analyze it yourself.

Does the support actually help? Email a question. See how fast they respond. See if they actually understand your use case or if they just copy-paste answers.

The software that wins is usually the boring one. The one that just works. The one your team doesn’t have to think about. That’s the one that’s actually saving you money — not by being flashy, but by removing the friction between an order and a delivered parcel.
